#613 Must have Q4 grant preparation

It is easy to allow Q4 to turn into a sprint of year-end appeals, final reports, board meetings, budget revisions, and grant deadlines.

It’s tempting to spend the whole season reacting to what’s due next. But Q4 is also a valuable time to prepare your organization for the next funding year.

Start with a look back:

  • Which applications were worth the effort?
  • Which funders responded, and what do you know about why?
  • What awards or renewals need attention?
  • Which programs have the strongest evidence, budgets, and staff support?
  • Where did the process get stuck (late data, unclear decisions, or missing attachments)?

Then look ahead. Confirm upcoming grant and reporting dates, ask program teams what they expect to deliver, and work with finance to understand the organization’s needs and constraints. If your budget or plans are changing, make sure your funding strategy reflects reality rather than last year’s assumptions.

Q4 is also a good time to strengthen funder relationships. Send thoughtful updates where appropriate, share useful program news, and make sure funder records and contact information are current.

Avoid turning every interaction into an ask.

Most importantly, build a realistic calendar. Leave room for prospect research, internal planning, and review, not just submission dates.

The best use of Q4 may not be squeezing in one more application. It may be making next year’s applications more strategic, better supported, and far less frantic.
