#608 Your federal grant was awarded: how to prep your team

The award announcement is in. Your organization has received a federal grant.

Celebrate the win. Then bring the team together before the work begins.

A federal award comes with requirements, deadlines, and commitments that will involve a coordinated team. The goal now is to make sure everyone understands what was approved and what your organization is responsible for delivering.

Start with an award kickoff meeting. Include the people responsible for leadership, program delivery, finance, operations, data, and compliance.

Before the meeting, gather the final application, Notice of Award, approved budget, and any terms and conditions. Then work through the essentials:

Confirm the award details. Check the funding amount, project period, approved activities, budget, reporting deadlines, and special conditions. Don’t assume the award matches the request exactly.
Assign clear owners. Identify who is responsible for program activities, financial tracking, data collection, reporting, and communication with the funder.
Build a shared timeline. Add reporting dates, deliverables, hiring milestones, procurement steps, and internal check-ins to a central calendar.
Review the budget together. Make sure finance and program staff understand which costs are allowable, how expenses should be coded, and whether the award requires matching funds or reimbursement.
Set up documentation and data processes. Decide what records need to be kept, where they will live, and who will maintain them.
Flag changes that may need approval. If staffing, activities, timing, or costs need to change, find out what the funder requires before making the change.
The application is now an agreement about what the organization intends to do. The team needs a practical plan for carrying it out and a shared understanding of who is responsible for each part.

A strong award kickoff doesn’t need to be complicated. It needs to happen early, include the right people, and turn the award terms into clear next steps.

Congratulations on the award. Now make sure the whole team is ready to deliver.
